Documenting condition when a parcel arrives

A calm arrival check creates a useful record without turning unpacking into a complicated production. Prepare the surface first and compare the parcel with the saved purchase description.

Record the outside before opening

Place the parcel on a stable surface with enough room for its contents. Photograph the overall package and any visible crushing, puncture, wet area or damaged seal. Keep the shipping label in a private record, avoiding public sharing of addresses. If the parcel presents an immediate safety concern, stop and follow the carrier's guidance rather than opening it for documentation.

Save the delivery date and tracking reference. These details connect the photographs to the transaction. A photograph alone may not explain when the condition was observed, so add a brief note while the information is fresh. Do not write on or discard packaging that may need to be examined later.

Open in controlled stages

Use the indicated opening route and keep cutting tools away from the contents. If the seller supplied unpacking instructions, read them first. Photograph the internal arrangement before removing major protective layers, especially if something appears displaced. You do not need a photograph of every movement; focus on the condition and the relationship between contents and packaging.

Set loose parts and documents in separate visible groups. Check packing material carefully for small accessories before setting it aside. Avoid cleaning, repairing or testing a questionable item during the first inspection. Those actions can change the evidence and make it harder to distinguish arrival condition from later handling.

Compare identity, contents and condition

Use the saved listing and agreed contents list. Confirm the exact edition, reference or identifying marks, then count components. Compare significant condition areas with the seller's photographs, allowing for differences in lighting. Document any mismatch with an overall view and a detail that clearly locates the issue.

Keep observations factual. Describe a detached mirror in the inner packaging rather than deciding immediately when or why it detached. Note what the packaging shows and what remains uncertain. If the item appears as described, record that the arrival check was completed and move on to its inventory location.

Keep the record together if there is a problem

Contact the seller through the transaction channel with a concise account and relevant photographs. Check the platform's and carrier's current procedures and deadlines directly; do not assume a previous purchase used the same process. Keep packaging and contents together until you know what the applicable process requires.

Store the original image files, listing, messages and parcel reference in one transaction folder. Do not claim that an unboxing video or photograph automatically guarantees a particular outcome. The record supports a clear explanation of what you observed, while the actual resolution depends on the transaction and applicable process.
